This module aims to develop an understanding of the key concepts, theories and practices to effectively and efficiently manage an office environment.
Learning Outcomes
On completion of this module the learner will/should be able to;
Appreciate the broad range of office functions and duties
Appraise the importance of the organising function for the administrative manager
Illustrate the importance of the development and motivation of employees
Evaluate the importance of effective office communications for the administrative manager
Explain the importance of an efficient manual records management system
Recognise the importance of office layout and environment and how this can impact on employee performance
Demonstrate the ability to organise meetings and events

1. Office Functions and Duties
- Importance of the office and its role as a sub-system within an organisation
- The roles, skills and responsibilities of office administrators, challenges facing office administrators
- Appreciate the range of regularly occuring administrative tasks and duties
- Appreciate the range of receptionists' duties
2. The Importance of the Organising Function
- Organisation structure, structural configuration, structural operation, recent trends in organisational design
- Improving office productivity
3. Developing and Motivating Office Employees
- Training, development of training programmes
- Motivational process, theories of motivation
4. Office Communications Methods
- Appreciate the importance of the office as an information processing unit
- Appraise various office communication methods and when it is appropriate to use each method
5. Records Management System
- Apply skills in the design and delivery of a manual filing system
- Compare and contrast sorting methods
- Understand the implications of the Data Protection Act and Freedom of Information Act for records management
6. Office Layout and Environment
- Appreciate the importance of office layout, including design, equipment and designing for new work practices
- Be aware of the impact of the office environment on employees performance (green office movement, sick office syndrome)
7. Meetings and Events
- To plan and execute effective meetings, taking into consideration the different types of meetings, convening company meetings, documentation and duties & responsibilities of participants
- Apply public relations skills in the organisation of an event
